Fresher’s Week

Update:

Need to start organising timetable for FW events. Use BUMC internal calendar to plan event dates, but ideally aim to keep same days. AP and OH have concerns about their availability for walks if same dates as last year used.

Committee day is to be same day as slacklining event

AP and OH to look at alternative dates for walks and get pencilled in ASAP

ISB 2023

Update:

RR been in contact with Ollie. Hoping to take 18 due to competitive nature of last year’s ISB. However, many of the experienced folk have now graduated, so would need more guides therefore big price increase.

Could do group of 15 and have one group of 3 but increase cost and no accommodation that takes 15.
However, 12 spaces may be too competitive. Much pondering for RR/RS.

Torridan looking not affordable so likely to be Fort William again.

First Aid

Vicky agreed to run first aid course again (see Meeting 1 minutes for more info)

Update:
Need someone from committee to take charge and organise this. OH volunteered to do this

OH to organise first aid training with Vicky and identify those who need/want to do the course

Drivers/Transport

Need nominated person from committee to liaise with SU/transport Paul and to find drivers for MPVs/personal cars.

Update:

AG already had talks with Paul re: organising observed drives early in S1

AG to continue to take lead on transport/liaising with SU

Promotion of Club

Use of club social media needs to improve, and events need bigger promotion.

Update:

AG has list of posts to put out on socials upon access to club accounts (01/08/2022)
AE been scouting club merch ideas for run early S1.

AG to wait for access to club accounts before posting.

AE to continue looking at club merch

AE also to take charge of distribution of last years merch – currently in gear store.

Co-opting of climbing sec

Unfilled role after elections. Role too much for one person (as proved last year and by existence of two positions anyway)

Update:

Role was advertised and only one manifesto received.
Vote on candidates.
As only one candidate the proposed voting structure was: to accept Nathan Strange, RON and abstain.
Result of vote was as follows:

For Nathan Strange: 8
RON: 0
Abstain: 1

Committee Media Profiles

Every year media sec posts a mini profile of new committee members so existing and new members can find out more about who the new committee are. Look back through BUMC Instagram page for examples.
Ideally have these done early so media sec have them ready to post at their leisure.

AG to send out template/guidance on what to include for these profiles

ALL to complete and email to AG as soon as possible with 1st August as soft deadline

Evening Orienteering Sessions

Complaint from last year was clashing of Sunday walks with orienteering sessions as participants of these likely to have the greatest crossover.
However, the volume of events the club offers and attempts to avoid clashing with other big events leads to minimal optimal times to host orienteering sessions.

RR and RS interested in feasibility of running evening sessions as alternative to Sundays. In principle there is no issue with this and would work well in summer as gets dark later. Problem is with Winter/Autumn (i.e. S1 sessions) where it would already be dark by the time the sessions start and thus necessitate the need for headtorches.

Not a problem for those who already own, but for those who don’t provides a barrier to entry. Could be alleviated by acquisition of club headtorches. However, storage of these in gear store may be problematic due to being electric/batteries. AE and HS remember storage of electrics being raised in the past and unsure of SU policy on the matter.

AE to find out SU policy on storage of batteries/electronics in gear store from Rob or SU directly.

Peaks Trip

Obviously to be run again, need to find dates the hut is booked for.

BMC Safety Seminar

Course offered by BMC that covers range of essential skills and important information that is vital to ensure safe running of club events.
Pre-covid we used to send a few representatives (e.g. a climbing sec, walking sec and one other)

Agreed that given the relative inexperience of committee in terms of leading groups/activities that it is more than worthwhile to send some representatives. Ideally a climbing sec, walking sec and one other (orienteering sec or chair?) but not beholden to these roles. Maximum 3 representatives, however.

Issue is dates of seminar are last week of Freshers week (1st/2nd October) when we typically have our big walk.

Also, a cost for the seminar, plus transport and accommodation. How much should individual be expected to cover?

CS, TH, AP, OH, RR and RS to look at whether they are able/want to go to seminar.
 

GD to look at how cost of this could be covered between club and individual once access to ledger/budget has been granted.

Setting up of Teams Channel for Committee

Needed to avoid spamming the chat with important information and easier to find important information than on FB messenger.

BritRock or Similar film event

Good way to gain extra revenue. Proceeds from BritRock been put to good use last year. Promoter of BritRock has emailed club in past with events the club might be interested in hosting.

AV, AG or AE to keep an eye on suitably relevant events club could host.

S1 Navigation Skill Sessions

From item no. 5

Designed to improve general map reading and navigation skills of general membership (thereby allowing them the skills to do more independently of the club, e.g. after graduation)

Trialled last year (only one session) and had good turnout. Finding space in calendar to host these sessions will prove tricky given sheer volume of offerings. Coordination with other events re: scheduling needed. Access to internal BUMC calendar should be granted post 1st August and all heavily advised to use this as much as possible.
